Minutes 1–10: clear the promises you made
Review callbacks and service requests that are due. Assign an owner and a next step to each open item. Remove duplicates so two agents do not contact the same person unnecessarily. If an item has no permission or no valid next action, resolve that issue before returning it to an outreach queue.
Minutes 11–20: look for the bottleneck
Separate attempted records, conversations, appointments, applications and confirmed outcomes. If attempts are high but conversations are low, inspect source quality, age and your contact process. If conversations occur but appointments stall, review whether the discussion ends with an agreed next step. Do not change five things at once.
Minutes 21–25: review cost with the right denominator
Divide lead spend by completed outcomes only when you have a nonzero outcome count. Keep pending applications separate and allow time for the batch to mature. Include labor and relevant business expenses in profitability analysis; the lead price alone is not your full acquisition cost.
Minutes 26–30: choose one experiment
Pick one improvement for the next week, such as preparing a better answer to a frequent question or protecting a daily callback block. Compare similar products, states and lead-age ranges. Record the experiment and the result so a temporary fluctuation does not become a permanent strategy.
