Move to a service workflow
Once an application is submitted, the next task usually concerns its processing status rather than another introductory sales conversation. Keep an approved application reference, submission date, responsible owner and next review date. Store application documents in the appropriate secure system instead of copying them into general lead notes.
Use verified stages
Keep submitted, information requested, pending, approved, issued and effective stages distinct where they apply to the product and carrier workflow. Do not infer one stage from another. A status label should reflect a verified source and the time it was checked. Carrier notices and product-specific instructions determine what the next step actually requires.
Make missing-information requests precise
Identify the specific unresolved item, who must supply it and the approved secure channel. Explain the task in plain language without promising an approval date or coverage outcome. Avoid repeatedly requesting information that has already been supplied; check the case history and current processing status first.
Close completed tasks accurately
After a verified update, record what changed and whether any action remains. If the client asks about coverage or an effective date you cannot verify, route the question to the appropriate source. Keep sales reporting separate from pending-work tracking: an application count is useful workload information, but it is not the same as active policies or received revenue.
