Keep reminders useful
Where a reminder is appropriate under your approved contact process, include the agreed time, time zone and a simple way to reschedule. Avoid placing sensitive details in a subject line or calendar title. If the person cancels or declines further contact, update the appointment and related tasks so an old reminder does not restart outreach.
Record the real result
After the meeting, separate attended, rescheduled, missed and cancelled outcomes. Note the question answered and any remaining action with an owner. If an application is discussed, record the stage accurately. A good appointment outcome may be clearer understanding or a decision to take more time; your records should not turn every meeting into an assumed sale.
