Identify commitments before transferring work
List requested callbacks, scheduled appointments and unresolved service questions. Separate these commitments from untouched records. Give each item a due date, time zone and current owner. The colleague taking over needs to know which actions were actually agreed with the consumer and which are merely internal suggestions.
Use approved access
Transfer work through the agency’s approved access and assignment process. Do not share a personal login or email an entire export to someone who does not need it. Check that the receiving agent can appropriately handle the relevant product and geography. A shared wallet or shared office does not automatically answer those access and readiness questions.
Make the next action explicit
Provide a concise factual note, the unresolved question and any reference needed to find approved case records. Include stop-contact instructions through the normal suppression process. The new owner should review the history before contacting the consumer and introduce themselves accurately, without implying that they personally handled an earlier conversation.
Close the handoff loop
Have the receiving owner acknowledge the assigned commitments. Remove duplicate reminders from the absent agent’s active queue where your system supports that workflow. When the original agent returns, reconcile ownership rather than having both agents resume contact. Review missed commitments to improve the handoff checklist for the next absence.
